Director of Student Services and Registrar

Director of Student Services & Registrar

  • 0.75 FTE (approximately 30 hours per week) • Fully remote • $40,000 per year • Immediate start • Applications reviewed on a rolling basis

We are hiring now and need someone who can start immediately. Applications are reviewed as they arrive, and we will make an offer as soon as we find the right person.

We are looking for one person to be the steady center of the student experience: someone who knows every student by name and also knows exactly where every transcript is.

We have no campus. Our students study from where they live, our staff work from where they live, and we gather in person only occasionally — for graduation and the occasional conference. You can do this job from anywhere, as long as your hours line up reasonably with North American business hours.

THE ROLE

This position holds together two things that larger schools usually separate. You will serve as Pillar’s registrar — the custodian of academic records, registration, degree audits, and conferral — and as the person students turn to for orientation, advising, and support from their first inquiry through graduation.

Day to day, that looks like:

  • Administering student records, term registration, transcripts, transfer credit, and degree audits in Populi
  • Orienting incoming students and advising the active roster through their degree plans
  • Noticing when a student is drifting, and reaching out before they disappear
  • Managing the administrative side of admissions and supervising our part-time Admissions Recruiter
  • Building the academic calendar and reporting enrollment and retention figures to leadership

You will report to the VP of Operations and General Counsel, working alongside the President, the Academic Dean, the Director of Development, and the Director of Brand and Communications.

WHO THIS SUITS

The student body is generally around 50 students. That scale is the point. This is not a role where you process files for people you never meet; it is a role where the same person who fixes a registration error also knows why that student has had a hard semester.

You will likely thrive here if you have worked in a registrar’s office or a student affairs office, and if you are the kind of person who keeps deadlines without being reminded and enjoys wearing several hats at a small institution. You will find it frustrating if you prefer a narrow lane and a large team.

A NOTE ON RHYTHM

Pillar runs two four-month terms: August through November, and February through May. The work is busiest between terms — December and January, and especially June and July — when closeout for one term overlaps preparation for the next. The settled middles of each term, September and March, are the quiet stretches. We would rather tell you that now than have you discover it in your first June.

COMPENSATION AND TERMS

$40,000 per year for a 30-hour week — roughly the equivalent of $53,000 at full time. Pillar is not able to offer health care, retirement, or other benefits. What we do offer is genuine flexibility: you set your own schedule around a handful of standing meetings, you work from home, and the 30 hours can be arranged across four days if that suits you.

We are hiring now and need someone who can start immediately. Applications are reviewed as they arrive, and we will make an offer as soon as we find the right person.

REQUIREMENTS

  • Bachelor’s degree required; master’s degree preferred, seminary training preferred
  • Prior experience in a registrar’s office or student affairs office
  • Comfort with student information systems, Google Workspace, and Zoom
  • Availability during North American business hours
  • Wholehearted agreement with Pillar’s Statement of Faith (the Apostles’ Creed) and with our mission and values
  • An active, growing relationship with Jesus Christ and active participation in a local church
  • Willingness to travel occasionally for graduation and conferences
  • Ability to provide your own computer, workspace, and phone; institutional email and accounts are provided
